Private Event Hire Information.

Booking Confirmation.

To secure your event, a signed agreement and deposit are required by the specified due date. Tentative bookings will be held for a maximum of two business days unless otherwise agreed. A 50% deposit is required to confirm your booking unless otherwise stated.

All event charges must be paid in full 14 days before the event. EFT payments should be made at least three business days in advance to ensure the payment clears in time. Credit card payments incur a surcharge.

Minimum Spend and Service Charge.

All event bookings are subject to a minimum spend on beverages. If the minimum spend is not met during your event, the difference will be retained as a venue hire fee. Any spend exceeding the minimum must be settled on the day. If your event falls on a public holiday, a 15% surcharge will also apply and is not included in the minimum spend.

Event Timing and Access.

Your event start and finish times will be outlined in your agreement. If your event runs over, additional venue hire and security charges may apply. The venue reserves the right to open to the public before and/or after your event’s confirmed schedule. We can organise access to the space up to one hour before your event for set-up, and one hour after for pack down, if necessary. No food or beverages will be served or consumed during these access times.

Furniture & Layout.

Furniture can be rearranged on-site to suit your event. However, removal of any furniture from the venue must be approved in writing and will incur a labour fee based on the items being moved. A floor plan is required in order to provide an accurate quote.

External Catering and Deliveries.

No external food or beverage may be brought onto the premises without prior approval. External items must be clearly labelled and delivered no more than 24 hours in advance.

Staffing and Security.

Some events may require additional staffing, such as a host or security personnel. Your Event Manager will advise you of any such requirements. Additional staffing is charged at an hourly rate with a minimum four-hour call. If deemed necessary by you or the venue, we will provide the required staff, and you will be responsible for the associated costs.

Signage and Styling.

All signage and styling elements must be pre-approved. Nothing may be pinned, glued, or otherwise affixed to venue surfaces. Signage in public-facing areas is limited and subject to approval. The venue is not liable for any items left behind post-event.

Entertainment and AV Requirements.

All external contractors, styling elements, entertainment, staging, or AV requirements must be approved in writing at least 14 days prior to the event. Contractors are responsible for their own set-up, pack down, and waste removal. Deliveries must be prearranged and all items collected immediately following the event unless otherwise agreed. Fire exits must remain clear at all times, and no naked flames are permitted.

Music and DJs.

Background music will be provided by the venue. Private events may accommodate DJs and live music, subject to approval. All entertainers must comply with venue sound limits, and management reserves the right to control volume during the event.

Guest Behaviour and Conduct.

Clients are responsible for the conduct of their guests, entertainers, and contractors. Management may intervene in cases involving inappropriate behaviour, excessive noise, or breach of RSA guidelines. Smoking is not permitted indoors and is restricted to designated areas. The venue operates a zero-tolerance policy on drug use. Anyone found in possession of drugs will be removed from the premises and referred to authorities.

Responsible Service of Alcohol.

In accordance with Responsible Service of Alcohol laws, service will be refused to any intoxicated person. Venue staff, security, and management have full discretion to remove guests behaving in a disorderly or unsafe manner. The venue may also reduce event hours or close an event if required. Entry to the venue may be refused at any time under these conditions.

Cancellations and Date Changes.

Cancellations must be made in writing. Cancellations made more than 14 days prior to the event will result in the forfeiture of the deposit. Cancellations within 14 days will incur a charge equal to the full minimum spend. Requests to change event dates may be accommodated subject to availability and must be confirmed within seven days of the original request. The venue reserves the right to decline or cancel bookings deemed disruptive or detrimental to the venue or its operations.

Force Majeure.

This agreement may be cancelled or modified by either party if circumstances beyond reasonable control, including but not limited to natural disasters, government restrictions, public health events, strikes, or civil unrest, make it illegal or impossible to proceed. In such cases, either party may terminate the agreement by providing written notice.

Indemnity and Liability.

The client must conduct the function in an orderly manner and in accordance with all applicable laws and venue policies. The client is responsible for the behaviour of their guests, invitees, and contractors, and is liable for any loss, damage, injury, or expense arising from their actions. The venue will take reasonable care but accepts no responsibility for loss or damage to personal items during or after the event.”

Marketing and Media Approval.
